What is Billbrain?
Billbrain is smart invoice approval for the construction industry. The platform analyses supplier invoices automatically and turns them into structured data. Every invoice line is extracted and linked to contracts, suppliers, projects and climate databases to generate insights into costs, contract compliance and emissions.
How does Billbrain work?
Billbrain works in three simple steps:
- Upload supplier invoices (PDF or e-invoice).
- AI extracts every invoice line automatically.
- The data is linked to contracts, climate databases and historical purchasing data to generate insights.
How is Billbrain different from Fortnox, Rillion or reda?
Generic invoice systems treat a construction invoice like any other invoice. Billbrain is construction-specific: it understands projects, variations, progress billing and subcontractors, reads every invoice line and reconciles it against the right contract and price list before approval.
On top of that you get contract control, climate data (Scope 1-3) and procurement insights from the same data, without switching finance systems.
What types of invoices can Billbrain analyse?
Billbrain analyses supplier invoices regardless of format: PDF, scanned documents or e-invoices (XML).
All data is extracted at line level and made immediately usable, with full traceability.
Can we analyse invoices from past projects?
Yes. Many companies upload invoices from completed projects to find insights they previously missed. Billbrain can identify price deviations, purchasing patterns and potential savings in historical data.
How accurate is the analysis?
Billbrain analyses invoices at line level and delivers traceable results. Every insight can be traced back to the original invoice line and the underlying data sources, ensuring transparency and auditability.
Can Billbrain integrate with our ERP or finance system?
Yes. Billbrain is designed to work alongside existing finance and ERP systems, including Fortnox and Visma. Invoices can be uploaded directly or integrated through your existing workflows.
How does Billbrain calculate climate data?
Billbrain links invoice lines to verified climate databases and emission factors to estimate the CO₂ impact per material or purchase. The result is traceable climate reporting that can support sustainability work and regulatory reporting (Scope 1-3 under the GHG Protocol).
How quickly can we get started?
Most teams can start analysing invoices within a few days. Billbrain works with your existing invoices, which means no major system changes are required.
Can we try Billbrain before deciding?

Is our data secure?
Yes. Billbrain is built with security and compliance at its core. Data is encrypted, stored within the EU and handled in accordance with GDPR. Your company always retains ownership of its data.
What does Billbrain cost?
Billbrain costs SEK 7 per invoice, and everything is included: line-level AI extraction, contract control, approval flows, climate data and procurement insights. No modules, no add-ons and no setup fee.

Is there a lock-in period?
No lock-in. You pay per invoice and can cancel whenever you like. The idea is for Billbrain to pay for itself every month, not to tie you in.
